1. Introduction
- This agreement sets out the terms and conditions under which we will provide a service to you or your company. All applications to register for a Scientific Update event, and all orders to purchase are made subject to these Terms & Conditions.
- The events are organised and managed by Scientific Update Ltd, a company registered in England with registration number 9364303 and registered office at Basepoint Enterprise Centre, Pine Grove, Crowborough, East Sussex. TN6 1DH, UK
- References to “us” means Scientific Update Ltd and references to “we” and “our” shall be construed accordingly. Reference to “you” means the person, firm or company completing a booking request and references to “your” shall also be construed accordingly.
- Personal data will be processed in accordance with our Privacy Policy.
2. Bookings
- All registrations for an event are subject to availability and you making full payment.
- We provide options for payment methods. Bookings may be paid by credit card at the time of the booking; otherwise, we will invoice you for bank transfer or cheque payments. Invoice payments must be received within 30 days of the issue date and before the start of the event.
- For late applications, within 30 days of the event date, we request that payment is made by credit card.
- Confirmation will be provided on screen with a unique reference number, followed by a confirmation email with your invoice attached. This will include further details on the course, timings and venue (if applicable). Please note that accommodation and travel arrangements are not included in the event fee and must be made independently.
- If you are registering as an academic or student, proof or photographic ID will need to be provided, in order to receive a discounted rate. If you are unable to provide identification prior to the event, no such discount will be deducted.
- For scheduled webinars, a confirmation email will be sent together with your login information and password.

- Face to Face Events:
- Registration grants access to the named individual attendee only. Substitutions may be made in accordance with Section 4.
- Attendees are responsible for complying with any venue-specific rules, including health and safety requirements.
- Online Events:
- Registration for online events grants access to one individual attendee only. Substitutions may be made in accordance with Section 4.
- Access details (including login links and passwords) are strictly personal to the registered participant and must not be shared or used by multiple individuals.
- We reserve the right to monitor attendance and participation during online events. To support this, attendees will be asked to keep their camera on and actively participate where appropriate.
- If we reasonably believe that a registration is being used by multiple participants, or that access details have been shared in breach of these terms, we reserve the right to restrict or terminate access to the event without refund and/or invoice for additional attendees at the standard rate.
3. Payment
- Payments for the event must be paid in the currency specified, if you require a different currency please notify us via [email protected]
- All payments for the event must be received before the event date and include VAT where applicable. VAT will be charged in accordance with UK VAT legislation and place‑of‑supply rules applicable at the time of invoicing.
- Credit Card:
- When registering for an event you will be able to choose to pay by credit card. You will then be transferred to the secure WorldPay gateway. We accept MasterCard and Visa, in addition to American Express (dollar payments only). A receipted invoice will be sent with confirmation of your registration and the delegate information pack.
- Worldpay use ‘cookies’ to allow the security procedures to process the payment, so if you have any difficulty – you might need to check your internet settings to make sure this is enabled.
- Those who choose this method will receive a confirmation of their transaction from both the payment provider (WorldPay) and us.
- You are responsible for any bank charges incurred through your bank.






- Cheque:
- When making payment via cheque, please select the appropriate box. An invoice will be issued for payment, in either Pounds sterling GBP (£), Euros (€) US Dollars ($).
- Cheques should be made payable to ‘Scientific Update Ltd’.
- Bank Transfer:
- If you wish to pay by bank transfer, please select that option. Bank payment instructions will be provided on an invoice for payment.
- Please quote the invoice number and attendee name as a reference with your payment.
- You are responsible for any bank charges incurred through your bank.
- Invoices:
- In the case where an invoice has been raised, that invoice must be paid within 30 days of the issue date – unless prior arrangement has been made.
- If an event has taken place and you have not paid the fee, you will be in breach of the terms and conditions of this agreement. We hold the right not to execute any further bookings through you or your company that have already been made or are yet to be made and further action will be taken if necessary. Full payment will still be required
4. Cancellations
- Should you be unable to attend and need to cancel your booking, you must notify Scientific Update in writing as soon as possible.
- Cancellation notice periods are as follows:
- Online Event – no later than 7 days prior to the event.
- Face to Face Event – no later than 30 days prior to the event.
- Where sufficient notice is given in accordance with the above, we will refund the registration fee less an administration fee.
- If cancellation is received after the applicable notice period, no refund will be issued and any outstanding invoice will remain payable in full.
- Substitutions may be made at any time at no additional cost.
- Cancellation of any booking will not be accepted unless confirmed in writing by you.
- Notwithstanding the above, Scientific Update reserves the right to refuse or cancel registrations as necessary.
- In accordance with clause 4a. If we were not formerly notified of the absence, no refunds will be given in respect of any non-attendance and/or if the payment is outstanding the full fee will still be required.
5. Liability
- We shall not be liable to you for travel, accommodation or other costs and expenses incurred if we are required to delay, cancel or relocate the event as a result of an occurrence beyond reasonable control (including but not limited to… acts of God, explosion, inclement weather; floods, lighting, storm or fire, war or threat of war, activity/threats of terrorism or threats of any such acts, measures of any kind on the part of any governmental or local authority, strikes, lock-outs or other industrial action and a pandemic, epidemic or other widespread illness).
- We may choose to, but not be obliged to, agree in good faith to refund the price paid in respect of your booking to attend the event.
- If you wish to protect your investment in the services purchased, you are advised to seek contingency insurance from a specialist broker.
- We accept no responsibility for any deaths or bodily injury (unless caused by negligence on our behalf), loss, theft or damage to any personal property belonging to anyone attending the event. You are held responsible at all times.
These terms and conditions contain the entire agreement and understanding between both you and us. By ticking the box upon registration, you agree to all statements made.
These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.
